Bayless High School is seeking a part-time secretary for the Activities Department. This position will begin in July 2018.
Secretary (Activities Department) - part-time 29 hours per week, 11 month work schedule Reports to: Activities Director I.RESPONSIBILITIES
- Provide general assistance and coordination of activities for department, coaches, and community stakeholders.
II.QUALIFICATIONS
- Graduation from a general or technical high school
- Prior experience/training with computer operations
- Excellent human relations skills
- Ability to work independently
- Possess organizational skills and ability for detail
- Knowledge of office equipment (computers, copier, fax machine)
- Proficient in the use of Google Drive and Microsoft Office.
III.FUNCTIONS
- Coordinates facilities usage, including scheduling, maintain a facilities calendar of events in Google Drive.
- Organize Purchase Orders for usage.
- Schedule transportation (buses) and distribute schedule to appropriate staff.
- Maintain a player profile on each student-athlete; maintain monthly master list of athletes.
- Process and monitor letters of intent between athletes, coaches and director.
- Assist Activities Director with game management; prepare tickets, create programs, and rosters for home events.
- Act as receptionist for the activities department. Assist students, staff and others with their questions in person, by phone or through email. Answer phone and distribute messages. Assemble, type and file reports and correspondence.
- Maintains confidentiality of office, staff and student matters.
- Create, assemble, type and maintain department forms as necessary for all activities. Assist by completing appropriate documents associated with evaluation and program review.
- Order and maintain supplies as needed.
- Work effectively with colleagues and students by practicing punctuality, respect for deadlines, collaborative problem solving, and honest communication.
- Maintain proficiency as needed and approved by attending trainings, reading job related materials, and meeting with others in area of responsibility.
- Other related duties as assigned.
